Client data without ten phone calls
The client fills in the form themselves - AI suggests values from their own documents, and you review and accept the submission before it enters the project.
The AI client form is a tool in the HeatAlgo app that collects calculation data straight from the client. Instead of calling around for wall dimensions and window types, you send a link - the client fills in the form at their own pace, optionally with AI help, and you get the full set of answers to review.

Why it matters
Collecting client data used to take the most time
Before you can calculate heat loss, you need dozens of numbers: room dimensions, wall construction, window types, heat source. Until now that meant phone calls, emails and site visits before you even opened the calculator.
The client form turns this into one link the client fills in themselves - on their own time, on their phone or computer. You get the full set of answers to review, instead of asking for every value one by one.
How it works
Two sides, one form

You send the form to the client
You create a form in the project and send the client a link by email, or simply copy it - to share by text message or WhatsApp.
The client fills it in at their own pace
The client opens the link without creating an account. They fill in fields classically or choose "With AI" mode - answers save themselves, and they can come back later.
AI suggests, the client approves
The client pastes a description of the building or adds photos of documents. AI reads values from them and shows them as suggestions to review - the client clicks "Apply" on each one they accept.
You review and accept the submission
Once the client submits the form, you see the full set of answers. You accept the data into the project or ask for corrections - only then can you import it into the calculations, in one click and with a preview of what will change.
The second path
Already have the client's documents? No need to wait for the survey
Building design, window and door schedule, energy performance certificate - if you have them at hand, paste them yourself right in the project. AI reads the data and proposes values, exactly as it does in the client form.
You paste or upload the documents
Paste text or add files - the building design, the window schedule or the energy performance certificate go straight in for reading, no form sent to the client.
AI proposes, you approve
AI reads values from the documents and shows them as suggestions to review. You approve only the ones you accept - fields with no backing in the documents stay empty.
The data flows into OZC and beyond
Approved values fill the OZC fields through the same import as client-form data, and after the calculation they feed the preliminary heat pump sizing.
AI only proposes values for the form - heat loss is always calculated by the algorithm, per PN-EN 12831-1. Documents are read solely to fill in the fields and are never stored anywhere.
Privacy
The client's documents are never stored
When the client uses AI mode, their files and descriptions go only to the language model that reads them - we don't keep them permanently.
AI never guesses. If it can't find an answer in the materials provided, it leaves the field empty instead of making up a value.
“Documents are read by the AI model (Anthropic) solely to fill in the form and are never stored anywhere. Suggested values always require your confirmation.”
This is the exact line the client sees on the form, next to "With AI" mode.

FAQ
Frequently asked questions
Does the client need to create an account?
No. The client opens the form from a link, fills it in and submits it - no registration, no password.
What if the client gets stuck or forgets something?
You send the form back with a request for specific fields - the client gets a link to the same form, they don't start over.
Does AI guess values that aren't in the documents?
No. AI only proposes what it actually finds in the description or photos provided. If something isn't there, the field stays empty - the client fills it in themselves.
Is there a limit on reading documents?
Yes, every form has an AI reading limit. Once it's used up, the client fills in the remaining fields by hand - the rest of the form works as normal.
How do I share the link if I don't have the client's email?
Copy the link with one click and share it however you like, for example by text message or WhatsApp.
Can I fill in the form myself, without sending it to the client?
Yes. If you have the building documents, paste or upload them right in the project - AI proposes values, and you approve only the ones you accept. They enter OZC through the same import as client-form data.
Which documents can AI read on the installer side?
For example the building design, the window and door schedule or the energy performance certificate. AI only proposes values it actually finds in the documents - heat loss is always calculated by the algorithm, per PN-EN 12831-1.
